Privacy Policy
How Airguard Envirocare collects, uses, shares and protects your personal data, and how to exercise your rights.
Last updated: 6 October 2026
1. Who we are
Airguard Envirocare Limited (company number 13521433), Unit 16 Wulfrun Trading Estate, Stafford Road, Wolverhampton WV10 6HH, United Kingdom ("Airguard", "we", "us") is the controller of the personal data described in this policy. This policy applies to our website https://airguardenvirocare.com and to the enquiries, quotations and emails that follow from it.
You can contact us about privacy at sales@airguardenvirocare.com, by phone on +44 (0) 7777 100207, by post at the address above, or through our data request form.
2. What personal data we collect
- Enquiry and quote forms (contact page, home page quote form, product / sector / service enquiry panels, pricing request, and any other form on the site): your name, email address, phone number, company, the product or part number you ask about, your enquiry type and the message you write. The phone number's country is worked out from its dialling code.
- Technical data stored with each form submission: your IP address, browser / device type (user agent) and the page you came from. We keep this to detect spam and abuse.
- Our follow-up correspondence: automated acknowledgement and questionnaire emails, your replies, our quotation and any follow-up emails or questions you send us.
- Quotation records: your contact details and the quotation we prepare for you, held in our accounting system.
- Newsletter: your email address, name and company, only if you tick the optional marketing box on a form. We record which form it was and when.
- Optional cookies (only with your consent): Google Analytics statistics about how you use the site, and the LiveChatAI assistant, including the messages you type into it. See our Cookie Policy.
- Spam protection: Google reCAPTCHA checks run on our forms and collect device and interaction data to tell humans from bots.
We do not knowingly collect data from children, and we do not collect special-category data. Please do not include any in your message.
3. Why we use it, and our lawful basis
| Purpose | Lawful basis (UK GDPR Art. 6) |
|---|---|
| Answering your enquiry, preparing and sending a quotation, and steps you ask us to take before a contract | Taking steps at your request before entering into a contract (6(1)(b)); for business contacts, our legitimate interest in running our business (6(1)(f)) |
| Up to three automated follow-up emails after we send you a quotation, and answering your questions about it | Legitimate interests (6(1)(f)): following up quotations we have been asked for. You can object at any time and we will stop. |
| Drafting quotation line items and replies with AI assistance (see section 5) | Same as the purpose above. Drafts are, by default, reviewed by our team before they are sent. |
| Storing the quote in our accounting system and keeping business and tax records | Legal obligation (6(1)(c)) and legitimate interests (6(1)(f)) |
| Spam and abuse prevention, security of the site (reCAPTCHA, IP address and user agent on submissions) | Legitimate interests (6(1)(f)) |
| Marketing emails (news, offers, product updates) | Your consent (6(1)(a)), given only by ticking the optional box, which is never pre-ticked. You are never added to our mailing list automatically. |
| Website analytics (Google Analytics) and the LiveChatAI assistant | Your consent (6(1)(a)) and PECR. Nothing is loaded until you accept the relevant cookie category |
4. Who we share it with
We do not sell personal data. We use the following service providers (processors) who handle data on our instructions:
| Provider | What they do for us |
|---|---|
| Vercel Inc. | Website hosting, delivery network and file storage (Vercel Blob); server logs |
| Neon, Inc. | Database for the website's content and administrator accounts |
| Supabase, Inc. | Database holding form submissions, the quotation workflow and the mailing list |
| SMTP2GO | Delivering the emails we send you and our internal notifications |
| Microsoft Corporation (Microsoft 365 / Exchange) | Our mailbox, where your replies to our emails arrive |
| Xero Limited | Accounting and quotations. Your contact details and quote are stored there |
| Anthropic, PBC | AI assistant (Claude) that helps us draft quotation lines, questionnaires and replies and reviews enquiries for completeness and spam. It receives the content of your enquiry and our correspondence with you. |
| Google LLC | reCAPTCHA (spam protection); Google Analytics 4 (only with your consent) |
| LiveChatAI | Website chat assistant (only with your consent) |
We may also disclose data where the law requires it, to our professional advisers, or to a buyer if the business is sold (who must keep to this policy).
5. Use of AI
We use Anthropic's Claude model to help draft quotation line items, follow-up questions and replies, and to flag enquiries that look incomplete or like spam. It does not make decisions that have legal or similarly significant effects on you: a member of our team reviews the output before it is sent, unless we have marked a specific conversation as trusted. Anthropic processes this data as our processor.
6. International transfers
Several of the providers above are based in, or process data in, the United States or other countries outside the UK. Where that happens we rely on a UK adequacy decision, the UK–US Data Bridge (where the provider is certified), or the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with the provider's own security commitments. Contact us if you would like more detail.
7. How long we keep it
| Data | Retention |
|---|---|
| Enquiries, form submissions (including IP address and user agent) and related email correspondence | 24 months after our last contact with you, then deleted or anonymised |
| Quotations, orders and accounting records | 6 years from the end of the financial year, as UK tax law requires |
| Newsletter subscription | Until you unsubscribe (we then keep a minimal suppression record so we do not email you again) |
| Google Analytics data | No longer than 14 months |
| Consent choice cookie | 6 months |
We may keep data for longer where needed to resolve a dispute or comply with the law.
8. Your rights
Under UK GDPR (and the EU GDPR if you are in the EEA) you can:
- ask for a copy of the personal data we hold about you (access);
- ask us to correct inaccurate or incomplete data (rectification);
- ask us to delete your data (erasure) where there is no good reason for us to keep it;
- ask us to restrict how we use it, or to receive it in a portable format;
- object to processing based on legitimate interests, and object to direct marketing at any time;
- withdraw your consent at any time: for cookies use "Cookie settings" in the site footer; for marketing use the unsubscribe link in any email or contact us. Withdrawing does not affect earlier lawful processing.
To use any of these, use our data request form or email sales@airguardenvirocare.com. We may ask you to verify your identity, and we will respond within one month (extendable by up to two further months for complex requests). There is no fee unless a request is manifestly unfounded or excessive.
You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint, or to your local supervisory authority if you are in the EEA. We would appreciate the chance to put things right first.
9. Security
We use encrypted connections (HTTPS), access controls on our administration area, and limit who can see enquiry data. No system is perfectly secure, but we take reasonable steps to protect your data.
10. Links to other websites
Our site links to other sites (for example LinkedIn and WhatsApp) that we do not control. Please read their privacy notices.
11. Changes to this policy
We will update this policy when our services or providers change and show the date at the top of the page.
